Reliable internal knowledge

A secure AI assistant grounded in your own sources

An internal assistant can search approved business information, explain what it found and link back to the source. Employees retain the ability to verify every important answer.

Frequently asked questions

Useful to know before you start

Can the assistant give an incorrect answer?

Yes. Even a well-designed assistant can misunderstand a question or find insufficient evidence. We therefore make answers refer to their sources and show when information is missing or uncertain. Important decisions still require employee review. Questions, corrections and unanswered searches are monitored to improve both the assistant and the underlying documentation.

Does this work with different document formats?

Many common documents can be made accessible, including text files, PDFs and information from document platforms. File format alone does not determine usefulness. Low-quality scans, tables, duplicate versions and documents without a clear owner need additional attention. During analysis, we assess structure, readability, currency and access rights before including sources in the knowledge base.

Can information be restricted by department?

Yes, provided the source and identity systems offer reliable permissions. The assistant must not reveal information merely because it has been technically indexed. We design authorisation in advance and test different roles, departments and exceptions. If source permissions are unclear or outdated, they must be addressed first. Access control also remains part of management when employees change roles or new sources are added.

Do sensitive documents need to go to a public AI tool?

No. We select processing, storage and suppliers to match the sensitivity of the information and your organisation’s security policy. We document which data is sent, what a supplier retains and who has access. A consumer account for a public AI tool is not the default design for internal business knowledge. The appropriate architecture is chosen after assessing risks, requirements and available systems.

How does the knowledge remain current?

A knowledge assistant can remain reliable only when it is clear which documents are authoritative and who manages them. Where possible, we make source, version and ownership visible and agree how outdated information is removed or replaced. Usage data shows which questions recur and where answers are missing. The assistant therefore also helps identify knowledge gaps and overdue document maintenance.

How do we introduce an internal assistant to employees?

A technical launch is not enough. Employees need to understand what the assistant is suitable for, how to verify sources and when to consult an expert. We prefer to start with a defined user group and recognisable questions. Feedback and corrections are made straightforward so trust can grow through demonstrated quality. Training, usage agreements and clear ownership are therefore part of implementation.

  • Start with a clear audience and approved sources
  • Explain what the assistant can and cannot do
  • Make feedback, escalation and source verification part of the work
